Acceptance of Policy

By completing enrollment and submitting payment — whether as a lump sum or first installment — the enrolling parent or guardian acknowledges that they have read and accepted the terms of this refund policy in full. This policy is disclosed at the time of registration and is binding upon completion of checkout. Enrollment constitutes agreement to these terms. All amounts are stated in United States Dollars (USD). This policy was in effect at the time of enrollment and the version applicable to any enrollment is the version published on the date of that enrollment, regardless of any subsequent updates. For data handling and privacy practices, please see the Genixis Privacy Policy.

Governing Law and Dispute Resolution

This refund policy is governed by the laws of the State of Georgia, United States of America, without regard to conflict of law principles. Any dispute arising from or related to this policy or a Genixis enrollment that cannot be resolved directly with Genixis shall be subject to binding arbitration or resolved in a court of competent jurisdiction in Fulton County, Georgia.

Genixis strongly encourages families to contact us directly before initiating any formal dispute, chargeback, or legal proceeding. The vast majority of concerns are resolved within 24 hours through direct communication. Contact [email protected] or call +1 844-436-0667 Monday through Friday during business hours.

What Constitutes Day 1

Day 1 is defined as the first official session day of the enrolled session — June 17, 2026 for Session 1 and July 8, 2026 for Session 2. A student is considered to have attended Day 1 if they join the session Zoom room for any duration on that date, regardless of how long they remain. Joining the Zoom room on Day 1 and withdrawing the same day moves the student into the Days 1 through 4 refund window. Accessing Circle.so, watching pre-camp videos, or completing account setup before camp begins does not constitute attendance and does not affect refund eligibility.

Day 1 through Day 4

Genixis cancels program
Full refundIf Genixis is unable to deliver the program for any reason within Genixis's control, a full refund of all payments will be issued within 5 business days.
Session rescheduled by Genixis
Case by caseIf Genixis reschedules a session and the new dates do not work for an enrolled family, a full refund will be offered. If the family accepts the new dates, enrollment continues with no refund. Genixis will provide a minimum of 14 days notice of any date change.
Discounts and promotional codes
Based on amount paidRefund percentages apply to the total amount actually paid by the family, not the full list price. If a discount code was applied at enrollment, the refund is calculated on the discounted total.
How to request a refund: Email [email protected] or call +1 844-436-0667 Monday through Friday during business hours. All requests are handled personally by the COO within 24 hours. Include your student's full name, enrolled session, and the email address used at registration.
Minimum Enrollment

Each session requires a minimum of 20 enrolled and paid students to run as scheduled. If a session does not reach the minimum enrollment threshold by 7 days before the session start date, Genixis reserves the right to cancel that session. In the event of a cancellation due to minimum enrollment not being met, all enrolled families will receive a full refund of all payments made within 5 business days. Families will also be given the opportunity to transfer their enrollment to the other session if space is available, or to defer their enrollment to a future cohort at no additional charge.

Genixis will notify all enrolled families of a cancellation due to minimum enrollment no later than 10 days before the session start date.

Payment Plan Refund Terms

These terms apply to families enrolled using the two-installment payment plan. The refund schedule above applies to the total enrollment price regardless of how many installments have been paid at the time of the request.

First installment within 48 hours
RefundableThe $200 first installment is fully refundable if requested within 48 hours of payment. The student's spot is released immediately.
First installment after 48 hours

Second installment — before Day 1
Second installment refundedIf withdrawn before Day 1 the second installment ($197 or $247) is fully refunded. The first installment remains non-refundable after 48 hours.
Second installment — Days 1 through 4
Partial refund50% of the total paid across both installments is returned. For a $397 total that equals $198.50. For a $497 total that equals $248.50.
Second installment — Day 5 onward
No refundNo refund is available from Day 5 onward regardless of installment status.
Missed second installment: If the second installment is not received by the due date, Genixis contacts the family within 24 hours. Enrollment is placed on hold. If payment is not resolved within 5 business days the spot may be released and the non-refundable first installment is retained by Genixis.
Session Transfers

A transfer moves a student's enrollment from Session 1 to Session 2 or vice versa due to a scheduling conflict. Transfer requests must be submitted in writing to [email protected] before Day 1 of the originally enrolled session and are subject to availability in the requested session.

Approved transfers carry no fee. The full enrollment amount is applied to the new session with no refund issued. Transfer requests submitted after Day 1 of the originally enrolled session are not eligible and are subject to the standard refund schedule instead. Transfers to a future cohort beyond Summer 2026 are governed by the deferral policy below.

Deferral to a Future Cohort

Genixis may offer enrollment deferral to a future cohort as an alternative to a refund in qualifying circumstances. An approved deferral carries the full enrollment credit forward to the next available cohort at no additional charge regardless of any future price increases. Deferral requests must be submitted in writing before Day 5 of the enrolled session and are approved at Genixis's sole discretion.

Deferrals are offered as a courtesy and are not guaranteed. If a deferral request is not approved the standard refund schedule applies. A deferred enrollment not used within 18 months of the original session start date will be forfeited with no refund issued.

Sibling Enrollment Refunds

Refunds for families with multiple students enrolled are calculated and processed independently per student based on each student's individual enrollment date, amount paid, and withdrawal timing relative to their enrolled session.

Withdrawing one sibling does not affect the enrollment or refund eligibility of any other enrolled sibling. The SIBLING50 discount applied at enrollment is non-recoverable. If the paying sibling's enrollment is withdrawn and only the discounted sibling remains enrolled, the discount amount is not refunded or recalculated.

Instructor Unavailability

Genixis's curriculum is designed and led by the Director of AI and Advanced Analytics. In the event the Director becomes unavailable mid-program due to illness, emergency, or other circumstances, Genixis will take one of the following actions based on the situation: engage a qualified substitute instructor with equivalent machine learning expertise to complete the remaining sessions; compress and restructure the remaining content to be completed by the Genixis team; or, if neither option is feasible, issue a pro-rated partial refund for the remaining undelivered sessions calculated on a per-session basis.

Genixis will notify enrolled families within 24 hours of any instructor change and will communicate the plan for completing the program. Short-term absences of two days or fewer will be addressed through asynchronous make-up content without triggering any refund obligation.

Technical Failures

In the event of a technical failure affecting a core platform — including GoHighLevel, Circle.so, Replit, or Zoom — that prevents one or more sessions from being delivered as scheduled, Genixis will make every reasonable effort to reschedule the affected session within the same week or provide equivalent asynchronous make-up content. A single session affected by a platform outage does not constitute a cancellation and does not trigger refund eligibility.

If three or more consecutive sessions are disrupted by technical failures beyond Genixis's control and no adequate make-up is feasible, Genixis will offer a pro-rated partial refund for the undelivered sessions or a deferral to a future cohort at the family's choice.

Force Majeure

Genixis shall not be liable for any failure or delay in delivering the program resulting from causes beyond its reasonable control, including but not limited to natural disasters, pandemic, epidemic, government-mandated shutdowns, widespread internet outages, acts of war, terrorism, or other extraordinary events outside Genixis's reasonable control (each a Force Majeure Event).

In the event of a Force Majeure Event that prevents program delivery, Genixis will offer all enrolled families the choice of a full deferral of enrollment credit to the next available cohort or a partial refund of up to 50% of amounts paid, at Genixis's discretion based on costs already incurred. Genixis shall not be liable for any indirect, consequential, or incidental damages arising from a Force Majeure Event. Genixis will notify families within 48 hours of determining that a Force Majeure Event will affect program delivery.

Session Recording and Media

Genixis may record Friday Zoom showcase sessions for the purpose of providing make-up access to students who miss a showcase due to a documented absence and for internal quality review. By enrolling, the parent or guardian consents on behalf of their student to being recorded during Zoom sessions. Recordings are stored securely and are accessible only to enrolled students, their parents or guardians, and Genixis staff.

Recordings are retained for a maximum of 90 days after the session end date and are then permanently deleted. Genixis will not use student recordings for marketing, advertising, or any public-facing purpose without obtaining separate written consent from the parent or guardian. Parents may opt out of recording by notifying [email protected] before their student's first session. Students who opt out will receive asynchronous make-up materials rather than recorded sessions.

Student Conduct and Removal

Students are expected to engage respectfully with instructors, the TA, and fellow students at all times in Zoom sessions and in the Circle.so community. Conduct that warrants removal from the program includes but is not limited to: harassment or bullying of any participant, sharing inappropriate, offensive, or harmful content in any program channel, sharing another student's work without permission, repeated disruptive behavior after a formal warning, and any conduct that violates applicable laws.

The removal process is as follows. First, the TA or COO issues a documented verbal warning and notifies the parent. Second, if the behavior continues a written warning is issued to the parent with specific details of the conduct in question. Third, if the behavior continues after a written warning the student is removed from the program. Genixis reserves the right to skip directly to removal for severe conduct violations without a prior warning.

No refund is issued for students removed from the program due to conduct violations regardless of when the removal occurs. All payments made prior to removal are forfeited. The removal decision is made solely by Genixis leadership and is final.

Attendance and Certificate Policy

Refunds are based on enrollment dates and payment timing — not attendance records. A student who misses sessions is not automatically eligible for a refund beyond what the standard schedule provides.

Certificate eligibility is governed separately. Students must attend 12 or more of 15 camp days and all 3 Friday Zoom showcases for a minimum of 60 minutes each to receive an official Genixis Virtual AI Explorers Camp certificate of completion. Students who withdraw and receive a refund are not eligible for a certificate regardless of prior attendance.

Exceptions and Special Circumstances

Genixis considers refund exceptions on a case-by-case basis for documented medical emergencies or serious family circumstances that prevent a student from participating. Exception requests must be submitted in writing to [email protected] within 7 days of the last session attended and must include supporting documentation such as a physician's note or other verifiable evidence.

Genixis does not offer refunds based on dissatisfaction with session content, technology difficulty, or a student's decision to pursue a different activity. All program details, curriculum, tools, and schedule are clearly described before enrollment.

Refunds are not available for students removed from the program due to conduct violations. All payments are forfeited in such cases.

Refund Processing

All approved refunds are returned to the original payment method — Stripe credit or debit card, or PayPal. Refunds typically appear within 5 to 10 business days depending on the card issuer or PayPal. All amounts are in United States Dollars (USD). Genixis is not responsible for currency conversion differences if the original payment was made in a foreign currency. The refund will be issued in USD at the amount originally charged by Genixis and any difference in the parent's local currency due to exchange rate fluctuations is outside Genixis's control.

Genixis does not issue refunds by check, cash, gift card, or to a payment method different from the one used at registration. If the original payment method is unavailable contact Genixis directly to arrange a resolution.

If a charge is disputed through a bank or credit card company before contacting Genixis, we ask that parents reach out first at +1 844-436-0667 or [email protected]. Chargebacks initiated without prior contact with Genixis may result in the family being ineligible for future Genixis programs.

Policy Updates

Genixis reserves the right to update this refund policy at any time. The version of this policy in effect on the date of a family's enrollment applies to that enrollment regardless of any subsequent updates. Genixis will notify all currently enrolled families of any material policy changes via email to the address provided at registration. Continued participation in the program after receiving notice of a policy update constitutes acceptance of the updated terms.
